Records

The Rock Springs Police Department Records Division is composed of one Records Supervisor, three full time Records Technicians, as well as one permanent part-time Microfilm Clerk and is supervised by the Services Division Commander.

Records Staff

Records Division hours are 6 a.m. to 5 p.m., Monday through Friday, excluding holidays.

The Records Division is responsible for receiving, processing, distributing, and maintaining police reports and other police data including: incident reports, citations, accidents, arrests, and press releases. The division not only assists police officers on a daily basis, but many public and outside agencies as well.

The Microfilm Clerk uses scanning equipment to scan reports to a computer and index them for future reference.

Reports are purged based on retention guidelines set forth by the State of Wyoming and by Rock Springs Police Department policy.


Release of Information

  • Requests for copies of police reports are considered on a case-by-case basis.
  • Not all requests for copies of police reports will be honored.
  • All requests will be based upon Wyoming State Statutes and the R.S.P.D.'s Release of Information policy.

Procedure for obtaining copies of police reports:

  • Fill out a Release of Information Form
  • All fees are do at the time of request
    • Additional fees may be due upon release
    • See Cost for Release of Information below 
  • Provide photo identification (driver's license, I.D. card, etc.)
  • Allow 10 business days for request to be fulfilled
  • You will be notified by phone when your request is complete

Out of town requests for copies of police reports:

  • Must be written and contain as much information as possible (ie: Incident type, dates of occurrence, RSPD Case Report number, names of persons involved, etc.)
  • Must have the signature of the person making the request notarized
  • Must include a copy of a driver's license or a picture I.D. of the person making the request
  • Must include a daytime phone number
  • Include payment
    • Additional fees may be due upon release

Cost for Release of Information is as follows:

  • $1.00 Per color photocopies (collected upon release)
  • $3.00 Per accident report/call report
  • $5.00 Per copy requests and background checks (per name)
  • $5.00 For all other reports up to 10 pages, $.50 per page after 10 pages (additional fee collected upon release)
  • $10.00 For all CD/DVD's (collected upon release
  • Fees must be paid by cash (exact change only), money order, cashiers check, or business check

 


 

The Records Division also compiles data reflecting crime trends and activities for local, state, and federal offices.
